Tables and Figures In-Text (chapter 7)

• Label tables and figures numerically (ex. Table 1)
• Give each table column a heading and use separating lines only when necessary
• Design the table and figure so that it can be understood on its own, i.e. it does not require reference to the surrounding text to understand it
• Notes go below tables and figures

Title Page (section 2.3)

• Include the title, your name,  the class name , and  the college's name
• Title should be 12 words or less and summarize the paper's main idea
• No periods or abbreviations
• Do not italicize or underline
• No quotation marks, all capital letters, or bold
• Center horizontally in upper half of the page

Body (section 2.11)

• Align the text to the left with a 1/2-inch left indent on the first line
• Double-space
• As long as there is no Abstract, at the top of the first page, type the title of the paper, centered, in bold , and in Sentence Case Capitalization
• Usually, include sections like these:  introduction, literature review or background,  discussion, and conclusion -- but the specific organization will depend on the paper type
• Spell out long organization names and add the abbreviation in parenthesis, then just use the abbreviation
• Spell out numbers one through nine and use a number for 10 or more
• Use a number for units of measurement, in tables, to represent statistical or math functions, and dates or times

Headings (section 2.26-2.27)

• Level 1: Center, bold , Title Case 
• Level 2: Align left, bold , Title Case
• Level 3: Alight left, bold italics , Title Case
• Level 4: Indented 1/2", bold , Title Case, end with a period. Follow with text. 
• Level 5: Indented 1/2", bold italics , Title Case, end with a period. Follow with text. 

Quotations (sections 8.26-8.33)

• Include short quotations (40 words or less) in-text with quotation marks
• For quotes more than 40 words, indent the entire quote a half inch from the left margin and double-space it with no quotation marks
• When quoting two or more paragraphs from an original source, indent the first line of each paragraph a half inch from the left margin
• Use ellipsis (...) when omitting sections from a quote and use four periods (....) if omitting the end section of a quote

References (section 2.12)

Begins on a new page following the text of your paper and includes complete citations for the resources you've used in your writing.

• References should be centered and bolded at the top of a new page
• Double-space and use hanging indents (where the first line is on the left margin and the following lines are indented a half inch from the left)
• List authors' last name first followed by the first and middle initials (ex. Skinner, B. F.)
• Alphabetize the list by the first author's last name of of each citation (see sections 9.44-9.49)
• Capitalize only the first word, the first after a colon or em dash, and proper nouns
• Don't capitalize the second word of a hyphenated compound
• No quotation marks around titles of articles

Appendices with Tables, Figures, & Illustrations (section 2.14, and chapter 7)

• Include appendices only to help the reader understand, evaluate, or replicate the study or argument
• Put each appendix on a separate page and align left
• For text, do not indent the first paragraph, but do indent the rest
• If you have only one appendix, label it "Appendix"
• If you have two or more appendices, label them "Appendix A", "Appendix B" and so forth as they appear in the body of your paper
• Label tables and figures numerically (ex. Table 1, or Table B1 and Table B2 if Appendix B has two tables) and describe them within the text of the appendix
• Notes go below tables and figures (see samples on p. 210-226)

Annotated Bibliography

Double-space the entire bibliography. give each entry a hanging indent. in the following annotation, indent the entire paragraph a half inch from the left margin and give the first line of each paragraph a half inch indent. see the template document at the top of this page..

• Check with your professor for the length of the annotation and which elements you should evaluate.

These elements are optional, if your professor or field requires them, but they are  not required for student papers: 

Abstract (section 2.9).

• Abstract gets its own page
• Center "Abstract" heading and do not indent the first line of the text
• Summarize the main points and purpose of the paper in 150-250 words maximum
• Define abbreviations and acronyms used in the paper

Running Head (section 2.8 )

• Shorten title to 50 characters or less (counting spaces and punctuation) for the running head
• In the top margin, the running head is aligned left, with the page number aligned on the right
• On every page, put (without the brackets): [SHORTENED TITLE OF YOUR PAPER IN ALL CAPS] [page number]

SPRING 2024 CHANGES TO THE DISSERTATION CLEARANCE PROCESS

In order to streamline the dissertation clearance process, the following changes have been made, effective 3-1-2024 .

1. The Dissertation Cataloging Form is no longer necessary.

2. The Dissertation Clearance Form is now initiated directly by the student, and only through Adobe Sign - Signed PDFs and scanned forms have been replaced by Adobe Sign.

3. Students completing dissertation clearance are no longer required to schedule a meeting with their DCR (Dissertation Clearance Representative). If they have questions about what to do, they are welcome to schedule a DCR appointment, but it is not required.

What is the APA 7th Edition Publication Manual?

The 7th edition of Publication Manual of the American Psychological Association was created by the American Psychological Assocation (APA), and contains the complete guidelines on how to format material for publication and cite your research .  It is a set of style rules that codifies the components of scientific writing in order to deliver concise and bias free information to the reader. 

This guide provides some of the basics to keep in mind, but it doesn't replace owning or borrowing the actual Publication Manual itself. It should be on your desk by your side throughout your writing process.

APA style, 7th edition requires specific heading formatting.

For Levels 1-3, the paragraph text begins on a new line. For Levels 4-5, the paragraph text begins on the same line and continues as a paragraph.

In Section 4.2 of the Publication Manual of the American Psychological Association (7th ed.), APA (2020) states that you should use verb tenses consistently throughout your work. See a chart of when and how to use past tense (Rodriguez found) and present perfect tense (Researchers have shown) at the APA Style website .

In-Text Citation Basics

Author/Date Citation Method

APA publications use the author/date in text citation system to briefly identify sources to readers.  Each in-text citation is listed alphabetically in the reference list.  All in-text citations referenced in the body of work musr appear in the reference list and vice versa.

• The author-date method includes the author's surname and the the publication year.  Do not include suffixes such as Jr., Esq., etc. Example : (Jones, 2009)
• The author/date method is also used with direct quotes.  Another component is added in this format: (Jones, 2009, p.19)
• When multiple pages are referenced, use pp. (Jones, 2009, pp.19-21)

Variations of author/date within a sentence Here are some examples of how the author/date citation method are formatted within different parts of a sentence. Please note the author, publication date, and study are entirely fictional.

• Beginning of a sentence: Jones (2009) completed a study on the effects of dark chocolate on heart disease.
• Middle of a sentence: In 2009, Jones's study on the effects of dark chocolate and heart disease revealed...
• End of a sentence: The study revealed that participants who ate dark chocolate bars every day did not develop heart disease (Jones, 2009).

Citing works with more than one author

• One author: Jones (2009) // (Jones, 2009)
• Two authors: Ahmed and Jones (2010) // (Ahmed & Jones, 2010)
• Three or more authors: Tsai et al. (2011) // (Tsai et al., 2011)
• Group/organization author that can be abbreviated: 1st mention: National Institutes of Health (NIH, 2012) // subsequent mentions: NIH (2012)

Dissertators often have trouble formatting their documents to comply with the format and style requirements dictated by their institutions. Many dissertators fail to comply with the requirements of their style guides. Further, many dissertators don’t know how to use Word styles and waste valuable time formatting content (e.g., headings) individually instead of setting styles one time and applying with a click wherever they are needed. That means formats are applied inconsistently or incorrectly throughout their papers. Incorrect heading styles can derail your chances of getting approvals for your dissertation proposal or manuscript.

To save you the time and hassle of styling your own Word document to comply with APA 7th edition style requirements, I offer you four versions of a preformatted Word 2013 document (.docx). Two heading schemes are offered for a dissertation proposal and for a dissertation manuscript. See below for descriptions, images, and specifications of each heading scheme.

About the APA-7th ed. Word templates

First, make sure your institution requires APA 7th ed. (2020), not some other style guide. Most social science programs will require APA. If you are in the humanities, you might need to comply with MLA style, and these templates might not work well for you.

These documents are Word documents (created on a PC) preformatted with heading styles that will comply with the heading style requirements of your institution.

IMPORTANT : Before you download a template, check your institution’s dissertation handbook for the preferred heading style scheme. Specifically, determine whether the chapter title headings are considered level 1 (strict APA style) or level 0 ( not strict APA style). The images below show examples of the two heading schemes, updated for APA 7th edition.

Next, choose the document that suits your current status: proposal or manuscript . The proposal contains the first three chapters typically found in a social sciences dissertation proposal (Introduction, Literature Review, and Methodology), plus the front matter (Title page, Abstract, Lists of Tables/Figures, and the Table of Contents) and the back matter (References and Appendices). The manuscript includes all five chapters (Introduction, Literature Review, Methodology, Findings, and Conclusions/Implications), plus the front and back matter.

Template descriptions

In addition to the formatted body of the paper, all the templates include placeholder pages and text for the front matter (Title page, Abstract, Lists of Tables/Figures, Table of Contents) and the back matter (References and Appendices).

NOTE: These files are regular Word 2013 documents (.docx) formatted using Word styles. You can use these documents as a template. These files are not actual Word TEMPLATEs (.dot or .dotm), which your virus scanning software may not accept. If you don’t know what that means, don’t worry about it.

APA-7th ed.-Word Template: PROPOSAL 0123

Chapter titles are level zero. Heading level 1 is bold, centered, title case. Heading level 2 is bold, left-aligned, and title case. Heading level 3 is bold, left aligned, italicized, title case. Heading level 4 is a paragraph-level heading, bold, title case, and ends with a period. Heading level 5 is a paragraph-level heading, bold, italicized, title case, and ends with a period. See APA 7th ed. (2020), section 2.27, for details and examples. Note that the APA examples will not show level zero headings. Many institutions require chapter headings to be document level (chapter title) level heading. This style departs from APA style.

Chapter titles are level 1 headings. Heading level 2 is bold, left-aligned, and title case. Heading level 3 is bold, left aligned, italicized, title case. Heading level 4 is a paragraph-level heading, bold, title case, and ends with a period. Heading level 5 is a paragraph-level heading, bold, italicized, title case, and ends with a period. See APA 7th ed. (2020), section 2.27, for details and examples. Heading styles comply strictly with APA style.

To view your Styles Pane in one of the later versions of Word for PC, on the Home Ribbon, click the little arrow at the bottom right hand corner of the Styles command section. If your Styles Pane doesn’t look like this, you can adjust the view using the Options button. When I’m working, I usually show just the styles in the document, and I like them in alphabetical order.

How to use these templates

• After downloading the appropriate template for your needs, open the file.
• Enable editing (click the button so you can edit the document. Your virus software will scan to make sure the file is safe to open on your computer).
• Save the file with a new name (usually using the naming conventions required by your institution) in a place you can find it again. This new version is the one you can start editing. Keep the original template somewhere on your computer so you can refer back to the style scheme as needed.
• Scroll through the document and look at the sections to make sure the template and format will work for you.
• Start adding your own content. Customize the heading text with the headings required by your institution. The template is preformatted so you can simply type your text over the heading placeholders.
• Check your institutional guidelines for other formatting requirements that may depart from strict APA style. For example, some institutions require block quotes and references lists to be single-spaced with one blank line after.
• I’ve included some comments in the margins of the templates to guide you as you go. Remove these comments when they aren’t useful (right-click, Remove Comment).
• To remove the yellow highlighting, you can select the text and type over it or you can select the text and turn off the highlighting (find the Highlighter tool on the Home Ribbon, select No Color).

Your signature page is one of the most important pieces of your final product. It proves that you completed the dissertation!  Below is an example of what your signature page should look like (names blanked out for privacy).

If you have any questions about the signature page or how to get it signed, please contact your program director.

ABSTRACT : An abstract is required for your Dissertation or Scholarly Practice Project and must be included before submitting your final copy to Proquest.  An abstract is a brief, comprehensive overview of your paper. Generally, it should not exceed 250 words.

KEYWORDS : You should also include keywords. Keywords are descriptive terms that encompass the themes of your paper. Think about what terms you used when searching for your topic in the databases. This is what researchers will use to find your paper!

The format for citing someone else’s dissertation or thesis in APA Style depends on whether the thesis is available from a database, published somewhere else (e.g. on a university archive or personal website), or unpublished (only available in print form directly from the author or university).

To cite a dissertation or thesis from a database, use the following format. In the square brackets, specify the type of dissertation or thesis and the university. As with other database sources, no URL or DOI is included.

Table of contents

Citing a dissertation published elsewhere, citing an unpublished dissertation in apa style.

To cite a dissertation or thesis published in a university archive (often in PDF form ) or on a personal website, the format differs in that no publication number is included, and you do list a URL.

APA 7th Edition

APA stands for “American Psychological Association.” Outside the field of psychology, “APA” is shorthand for the writing style manual published by the APA, The Publication Manual of the American Psychological Association.

Saint Mary’s University has adopted the APA as the official style manual for its Schools of Graduate and Professional Programs. Use of the APA ensures that Saint Mary’s students have a solid stylistic foundation for their academic and professional writing.

Introduction to APA 7th Edition

To help you use the APA Manual , the SGPP Writing Center has developed an introductory guide called Introduction to the APA and Other Writing Tips . This booklet is available as a download from the Writing Center’s website (click on the image above). It is not a replacement for the APA manual, but it will help you get started, and it also provides some useful information about using Microsoft Word® for APA formatting.

The booklet contains an index at the end to facilitate online viewing without printing.

CEHHS Formatting Requirements for Ed.D. Dissertations

CEHHS uses the current version of the APA Publication Manual (7th edition) for all matters of format with the exception of some particular requirements for the Title page, pagination (especially of front matter) and top margins. Paper Format

Consistency in the order, structure, and format of a paper allows readers to focus on a paper’s content rather than its presentation.

To format a paper in APA Style, writers can typically use the default settings and automatic formatting tools of their word-processing program or make only minor adjustments.

The guidelines for paper format apply to both student assignments and manuscripts being submitted for publication to a journal. If you are using APA Style to create another kind of work (e.g., a website, conference poster, or PowerPoint presentation), you may need to format your work differently in order to optimize its presentation, for example, by using different line spacing and font sizes. Follow the guidelines of your institution or publisher to adapt APA Style formatting guidelines as needed.

The purpose of these Formatting Guidelines is to make all dissertations and theses legible, accessible, preservable, and uniform in presentation. The steps you take now to format your dissertation and thesis will improve the file for future readers.

It is recommended that you use the dissertation/thesis template available in this guide which has most of the guidelines already incorporated.

File Format

• Submit the dissertation or thesis as a PDF file

Structure/Accessibility

Techniques for creating accessible documents, including adding alternative text for images, can be found on this  website.

Set Document Title:  Set the document title (note: this is a document property, not the filename) as your dissertation or thesis title.

Set Document Language

Set the Language of Parts (Quotations, Sections) That Are Different from the Main Language (required if applicable)

Use Correct Headings:  Use appropriate heading levels for section and subsection titles. Use “Heading 1” for main section titles (e.g. a Chapter), “Heading 2” for subsection titles (e.g. a Chapter section), and so on.

Create Lists, Columns, and Other Structures by Using the Appropriate Structural Element.  Do not use space bar, tab, or enter to arrange text in apparent tables, lists, or columns.

Images, Figures, Tables, Media

• Include descriptive alt text for all images and figures to convey the meaning and context of a visual item in a digital setting (do not use images of tables.)
• Use at least 2-inch top margin on the Title Page.
• Use 2-inch top margin on the first page of every chapter and major section (Acknowledgements, List of Figures, Bibliography, etc.…)
• Use at least 1-inch margins (top, bottom, left, right) on all pages. 

Text, Fonts, Color, Spacing

• Use a legible font, size 12 point, black color for all body text. Recommended fonts include Times or Times New Roman (serif fonts) or Arial (sans-serif font). Images and text within images may be in color.
• Headings may be visually different than body text (bigger, bold) and no bigger than size 16 point.
• Font size for footnotes, endnotes, captions, tables, figures, and equations may be smaller than the body text and no less than 9 point.
• Text in the Front Matter that links to a location within the dissertation or thesis (from the Table of Contents, for example) should not be underlined or outlined as hyperlinks.
• Use embedded fonts to ensure all font information in your document is secured in your PDF.
• Use either 1.5-line or double-line spacing throughout for all body text. 
• Use single-line spacing for text in tables, lists, footnotes/endnotes, figure/table legends/captions, and bibliographic entries (with a blank line between each citation or entry). 

Numbering and Page Numbering

• Number chapters consecutively and name them as follows: Chapter [#] [Title of Chapter]. For example, Chapter 1 Introduction. 
• Include the chapter number and name as a heading on the first page of chapter and in the Table of Contents.
• Number all tables, figures, appendices, etc. consecutively and name them as follows: Table [#] [Caption/Title/Legend]. 
• Tables, Figures, etc. may be numbered simply using whole numbers throughout the document (Figure 1, Figure 2, Figure 3) or by combining the chapter number and table, figure, etc. number per chapter (Figure 2.1, Figure 2.2, Figure 3.1). Choose one system from an appropriate style guide and use it consistently.
• Include a List of Figures, List of Tables, etc. in the front matter if the dissertation or thesis includes more than one figure, table, illustration, appendix, etc. (required if applicable)
• List of Figures (or List of Tables, List of Illustrations, List of Appendices, etc.) includes the title of each, its caption/title/legend, and page number on which it begins.
• Include page numbers in the front matter, centered in the footer, using lowercase Roman numerals, beginning on page ii (the first page after the Identifier/Copyright page).
• Include page numbers in the dissertation text and following sections, centered in the footer, using Arabic numerals, beginning on page 1.

Components of the Dissertation and Thesis

Include the following components, in the following order. All required components must be included.

Use the page numbering conventions given below. Every section below starts on a new page with 2-inch top margin.

Title Page (required)

No page number. No page count.

Title Page Components

Include the following components on the title page, in the following order. Begin each item on a new line.

• At least 2 inch top margin on Title Page. 
• Complete dissertation  or master’s thesis title, centered, and capitalized in title case. 
• Your author name should match your legal name or preferred name in Wolverine Access
• You may use initial(s) for middle name(s).
• The following text, including line breaks, centered and single line-spaced. 

A dissertation (thesis) submitted in partial fulfillment of the requirements for the degree of Name of Degree (Name of Program) in The University of Michigan-Dearborn YEAR

• The text, “Doctoral Committee  or Master’s Thesis Committee:” left justified. 
• List chair or co-chairs first (in alphabetical order by surname if more than one) with “Chair” or “Co-Chair” after their titles and names.
• List other committee members in alphabetical order, by last name.
• Professor rank (e.g., Professor, Associate Professor, Assistant Professor, Emeritus Professor) or title (e.g., Dr.)
• Complete full name
• Affiliation, if not affiliated with University of Michigan (e.g., name of university, college, corporation, or organization)

Identifier/Copyright Page Components

Include the following components on the identifier/copyright page, in the following order. Begin each item on a new line, centered.

• Your full legal name (Required)
• Your @umich.edu email address (Required)
• Your ORCID iD (required only for PhD candidates)

ORCID iD is a unique digital identifier that you control and that distinguishes you from other researchers.

• ORCID iD profile URL (Recommended)
• Copyright notice. (Recommended)

Copyright notice notifies readers that you hold the copyright to this work and when it was established.

Use the following format: © Full Name YEAR

Final Formatting Checks

Before submission, double-check the following:

• All numbered series (pages, chapters, tables, figures, etc.) are consistently formatted and consecutive throughout the document.
• All entries in the table of contents and lists match contents as titled/ordered in the dissertation text.
• References/Bibliography entries are complete and match the formatting preference of your discipline.

Thesis or Dissertation Embargo

The thesis or dissertation is submitted as public evidence of your scholarly research and accomplishment. A thesis or dissertation and abstract is normally made publicly available upon degree conferral when it is deposited electronically in Deep Blue. If a student wishes to postpone public release of the final product, also called an embargo, the student should discuss this option with his or her faculty advisor. It has always been the university's expectation that every dissertation and abstract will be released upon conferral of the degree. Only in specific circumstances may release of a thesis or dissertation be deferred, and then only for a limited period of time. The student is responsible for requesting an embargo.

Deep Blue Archiving 

Required for doctoral dissertations and highly recommended for Master’s Thesis. The final pdf document of your dissertation or thesis must be submitted electronically to the Mardigian Library. This digital PDF will be the copy of record and will be archived in  Deep Blue . Deep Blue is a digital repository that is part of the University of Michigan Library. 

To submit your document, you need to provide:

• Your ORCID iD  
• Keywords that describe the subject, concepts, theories, and methods used in your document, to help others find and retrieve your document
• A copy of your thesis or dissertation in PDF format
• Optional – up to two supplementary files (no larger than 50 MB each), such as an audio file, spreadsheet, or a software program

To maintain the usability and appearance of your document, please review the  Best Practices for Producing High Quality PDF Files , available on Deep Blue.

If you have supplemental materials (such as data) that should also be made publicly available and associated with your dissertation or thesis, consider reaching out to  [email protected]  for help determining whether these should be deposited into one of the Deep Blue repositories.

Once your document is submitted to Deep Blue by the library, you will receive an email containing the DOI and a URL to access the document. It will also be added to the Mardigian Library catalog and made available on Google Scholar. If no embargo is requested, it may take three to four weeks for your document to become available.
